Contract Questions

We will reduce the risk, cost and burden of running your fleet by providing you a technology stack and with an outsourced team to run your fleet.
Our approach means you do not have to deal with problematic HR issues like staff recruitment, training, holidays, sick leave and turnover.
Without compromising on safety, we will actively seek to reduce your vehicle expenses wherever possible.

We specialise in supporting organisations running tools-of-trade fleets of 20 or more passenger cars, light vehicles and vans.

What is the minimum contract period?
We understand that your circumstances are constantly changing and that therefore a long-term contract can be problematic. So, we keep the minimum contract length to just 6-months, consisting of a 4-month initial period plus 2-months rolling notice.

After the initial period, on a rolling notice basis, either party can terminate ‘for convenience’. This is calculated per vehicle; the minimum contract length for any individual vehicle is 6-months and this is calculated from when a vehicle goes ‘Active’ the date that it’s in operational use by you and managed by us.

Upon termination and the payment of all outstanding invoices owed to us, we provide you with a download of the data (in spreadsheet format) as contained within the Fleet Administration System. At which point our obligation to provide Outsourced Fleet Management and Technology Stack services to you ceases.

The agreement continues on. The 2-months rolling notice stays in place.
Every 12-months, on the anniversary of the agreement signing date, there is a a CPI review and the ‘fixed operating charge’ is adjusted accordingly.
Invoicing Questions

The principle behind our charging structure is that we deliver value to you by being more cost-effective compared to you managing your fleet internally, and you fairly compensating us for the labour and technology we provide to you.
The Fixed Operating Charge represents the compensation to us for the Outsourced Fleet Team’s labour and the Technology Stack: Mercurien app, Business intelligence Reporting, Fleetio - fleet administration software), and Fleetio GO - fleet administration app for allocated drivers.

The Fixed Operating Charge is calculated per Vehicle and is the maximum number of Vehicles under management in the previous month.

You are responsible paying the ‘Fixed Operating Charge’ and for payment of all vehicle expenses. With our approach your cash stays in your business for a long as is practical and you will have 100% transparency across all vehicle expenses.

Our 100% Price Transparency Guarantee means that we will actively seek to reduce your vehicle expenses wherever possible, and pass on ALL the savings. Our accounting team will provide you with all the information in the invoicing AND we give you access to the vendor’s (expense) tax invoices within the Fleet Administration Software.
General Questions

We don’t provide finance but can put you in touch with providers. For insurance, we recommend that you engage an independent broker.
If you provide us with the terms of your finance and insurance, then we can add this data to our total cost of ownership for calculations and track this for you.

Yes, the vehicles.
If you require infrastructure, we can introduce you to industry specialists. -
Your drivers can call us during business hours AEST. Outside of business hours, there are support functionality within the Mercurien app.
